Intranets That Keep Up With Your Growth
Turn your intranet from a dusty document graveyard into the nervous system of how your business runs.
Your business outgrew your intranet. Now it’s showing.
As you add people, locations, and lines of business, cracks show up fast. When your internal infrastructure can’t scale, it creates “organizational friction” that eats into your margins and slows down your best people.
You’ve likely seen these symptoms lately:

The Search Struggle:
No one can find the “right” version of anything, leading to outdated policies being followed or work being duplicated.

Information Islands:
Teams rebuild their own private folders, wikis, and Notion or SharePoint islands because the main site is too hard to use.

Communication Black Holes:
Important company updates and process changes disappear into the noise of email threads and chat pings.

The Onboarding Drag:
Approvals and training slow down as every new hire adds “one more step” to a manual, undocumented process.
This isn’t a user problem. It’s an intranet that never caught up with how your business actually works.
The Fluent Approach
We don’t start with platforms. We start with bottlenecks.
Most vendors lead with tools—selling you on SharePoint vs. Confluence vs. a proprietary portal. At Fluent, we treat your intranet as the infrastructure for how your work flows.
- Work first, tools second: We map how key workflows—like onboarding, task management, and document approvals—really run today and where they break.
- Designed around behavior: Information architecture, search, and navigation are built around how your people actually think and work—not your organizational chart. That structure is also what makes it possible to safely layer in AI later—so search, summaries, and Q&A actually work instead of hallucinating.
- Platform-aware, not platform-blind: We work deeply in Microsoft 365 and other modern stacks, but the tool is always a means to an end.
- Built to grow, not just to launch: Governance, permissions, and ownership are baked in so your intranet doesn’t collapse the moment you add a new team or acquisition.
Key Features of Our Custom Intranets
From “where did that live again?” to “of course it’s here.”
A Fluent intranet project is designed to be a “single source of truth” that employees actually want to use. Typically, our builds include:
- Structured Content Hubs: Centralized, easy-to-navigate homes for policies, procedures, templates, and training materials.
- Role-Based Home Pages: Personalized dashboards so different teams see the tools and updates that matter to them first.
- Operational Playbooks: Digital runbooks wired directly into the places where work actually happens.
- Intuitive, AI-assisted Search and Q&A: A search experience that speaks your company’s language and shorthand, not just vendor defaults –paired with the option to use AI to:
- Surface the right document or version quickly
- Answer “how do we…?” questions from existing policies and playbooks.
- Let people ask about company goals, processes, or standards through a chat-style interface instead of hunting through folders.
- Lifecycle Governance: Automated rules that flag stale content for review, ensuring your data stays trusted instead of outdated—and giving AI a cleaner, safer knowledge base to work from.
We provide both net‑new builds and “rescues” of existing, underused intranets.
How an Intranet Project Works
We deliver focused engineering-led projects, not endless redesigns.
Discovery & Assessment:
We pick 2–3 critical workflows and talk to the people closest to the work. We identify exactly where the current system helps, hurts, or is ignored.
Intranet Blueprint:
We design the information architecture, navigation, and governance rules aligned to your specific workflows and technology stack.
Build & Integration:
This is an iterative build process. We integrate with your core systems and perform pragmatic content migration—cleaning and organizing your data as we go.
Launch & Adoption:
We pilot the new system with a specific function, train the people who live in it, and then adjust based on real-world usage data before rolling it out company-wide.

FAQ
Do you only build on SharePoint?
No. Many of our clients are on Microsoft 365, so we work in that ecosystem a lot—but we don’t treat SharePoint as the automatic answer. We start with your workflows and constraints, then recommend the right platform for your specific stack.
Our intranet already exists. It’s just messy and underused. Can you help?
Yes. A large portion of our work involves untangling and rebuilding existing intranets. We’ll assess what you have, decide what’s worth keeping, and design a path from “cluttered” to “trusted” without throwing everything away.
How big do we need to be for this to make sense?
If you’re feeling the pain—misalignment, duplicated work, onboarding drag—you’re big enough. For most Fluent clients, that’s roughly 20-30 people or multiple locations or business lines.
Who needs to be involved from our side?
Typically a business owner or executive for the outcomes (CEO/COO/Head of Ops) and a few "power users" closest to the workflows we’re fixing. We keep the stakeholder group focused so decisions don’t stall.
How long does a project usually take?
A focused first phase, centered on a few critical workflows, usually takes weeks to a few months. We prefer getting a high‑value slice live and used, then iterating, rather than waiting a year for a "big bang" launch.
What does it cost?
Cost depends on your current state and how much change we take on at once. After a short discovery and design process, we’ll provide a clear, phased proposal so you can decide how to bring the changes to life.
